Good file practices
- Split giant PDFs. A 500-page PDF is harder to search than 10× 50-page topical files. Break by topic if you can.
- Prefer Markdown when the source allows it. Clean, short, structured — the ideal format for retrieval.
- Remove cover pages and legalese. They dilute searches. Keep the substantive content.
- Name files meaningfully.
shipping-policy-eu-2026.pdf ranks better in citations than doc (2).pdf.
Updating a file
To replace a file: delete the old source, add a new one. A diff-based replace is on our roadmap.

Individual files are capped at 25 MB. Split larger ones.
Security
Files are stored in the EU, encrypted at rest. Only your workspace can retrieve them. If you delete a file, it’s purged from the index within minutes and from storage within 24 hours.
Don’t upload documents with customer personal data you wouldn’t want the AI to reference. If a passage can be retrieved, it can appear (heavily paraphrased) in a reply.
